Collection Development
Bilkent University Library continuously enriches and updates its collection by considering its users’ academic, social, and cultural information needs. Based on user feedback and material requests, new resources are acquired in fields where needed, and donated materials are carefully evaluated within the framework of collection development principles before being added to the collection.
Bilkent University Library accepts requests for new materials to enhance its collection. This service is available exclusively to the university’s academic and administrative staff and students.
Submitting Requests
- Before submitting a material request, please check the library catalog and databases to ensure the resource is not already available in the library.
- Please justify if you request multiple copies or different formats of the same material.
- Material requests can be submitted to the library via the Material Request Form, email, official letter, or through the relevant faculty librarian.
Evaluation Process
- The library evaluates requests for books, journals, and electronic materials in line with its collection development policy.
- Requesters are informed of the evaluation results via their library account or email.
- Journal and database subscriptions are generally arranged at the end of the year.
- The final decision to add materials to the collection rests with the development team and library administration.

Material donations to Bilkent University Library are carefully reviewed in line with the library’s Collection Development Policy. Materials considered suitable within this framework are added to the collection.
Donation Process
- Donation Form: Before delivering materials to the library, donors must fill out the Material Donation Form, providing details about the items they wish to donate. Completing information such as ISBN/ISSN, author, title, and other relevant details in the form ensures a faster evaluation process.
- Evaluation: Submitted materials are reviewed according to the Collection Development Policy and evaluated based on the library’s collection needs.
- Feedback: Donors are informed of the evaluation results via email.
Donation Criteria
Donations to the library are accepted based on the following criteria:
- Materials must be clean, in good physical condition, up-to-date, and scientifically valid.
- They should align with the university’s educational, research, and cultural activities and hold academic value.
- Resources related to science and technology must have been published within the last five years.
- They must comply with the Law No. 5846 on Intellectual and Artistic Works provisions.
The following types of materials are not accepted into the collection:
- Outdated formats, such as floppy disks, cassettes, and video cassettes, except vinyl records.
- Periodicals that lack binding integrity or do not complete existing collections.
- Materials that are outdated, damaged, photocopied, duplicated, or intended for primary or secondary school levels.
- Open access resources or materials already present in the library collection.
Evaluation of Donated Materials
- Donated materials are evaluate for inclusion in the library’s collection.
- Materials approved for addition to the collection must be delivered to the library by the donor. The postal delivery cost is the responsibility of the donor.
- Materials already in the collection, available electronically via databases, or identified as open access are redirected to other university or institutional libraries in need. A record of these materials is maintained.
- The materials that are not useful for any library collection will be included in the recycling.
